Program Coordinator for Brownell Incentive Travel


Join Brownell, the oldest travel agency in North America, in an exciting role of Program Coordinator in the Meetings & Incentive division (Brownell Incentive Travel).  We are seeking a motivated individual to support our Program Managers. Candidate must have a passion for the benefits of travel in life. The position is located at Brownell’s headquarters at The Summit retail shopping center in Birmingham, Alabama.

PRIMARY RESPONSIBILITIES                                                                                                         

  • Main point of contact for program participants
  • Manages program participant database
  • Assist Program Manager with development and management of Program Book
  • Manages support manifests such as arrivals, departures, special requests and rooming list
  • Prepares travel documentation
  • Ensures all collateral material is complete
  • Assists Program Manager with duties like proposal preparation, contracts, site visits, timeline, billing & vendor payments, etc.
  • Coordinates and creates collateral for programs in support of Program Manager
  • Attends pre-conference meeting in support of Program Manager
  • Sends Request for Proposals (RFP’s) to vendors when needed
  • Prepares destination, hotel and recreation information to clients and attendees
  • Prepares and assist with presenting new business opportunities as needed

  • Demonstrated ability to manage vendors, account relationships, communicates effectively and monitors program development and operation.
  • Strong desire to learn all aspects of program management
  • Must be able to get along with a team
  • Experience communicating and working closely with program participants
  • Onsite event experience preferred
  • Candidate must be able to demonstrate ability to obtain, organize and disseminate information
  • Working knowledge of Outlook, Microsoft Office (Word, Excel, PowerPoint) Required
  • General customer data base experience helpful
  • Confidence or knowledge working with online registration tools preferred
  • Ability to perform all items detailed above in a fast-paced environment
  • A self-starter who is resourceful and can implement and execute with general directions
